Working with Tasks

Files can be assigned to an individual or to an entire workgroup. Within a workgroup environment, product managers assign files to different workgroups. Product managers can then monitor the progress of the workgroups through the Assigned To and Review Status reports. Within the Tasks view, the product managers can oversee the individual workgroup monitors as well as each assigned task.

When assigning a file, you can add a review status that explains the type of work done on the file. If a file requires a legal review, for example, create the review status legal review, indicate the file's status, and then assign it to the person responsible for accomplishing this task. When the legal review is complete, that person can classify the task as approved.

It's also possible to view your site's files on an assignment basis by using the Assigned To report, which displays your Web files by assignment. The Assigned To report displays these files in a column format and provides the following information:

  • File name. Name of the file

  • Title. Title of the file

  • Assigned To. User name or workgroup to which the task is assigned

  • Assigned Date. Date the file was assigned

  • Assigned By. Who assigned the file

  • Comments. Comments that describe work that needs to be done on a file, or any other information you feel is necessary

  • Type. Type of file (.gif, .css, .htm, etc.)

  • In Folder. Folder in the Web site where the file is stored

Files can be sorted in any column heading displayed in the Assigned To report. You can also filter the values displayed in any of the report columns. The filtering choices for that column can be obtained by clicking the column heading.

Tasks can be assigned to individuals or a workgroup and feature a description of the work comprising the task. When dealing with files (whether they're pictures, text, or sound bites), you can associate a task and a file, and then assign it to yourself in the capacity of a co-worker.

In the Tasks view, you can monitor the many tasks on your site. Tasks view uses a column format and provides status information about each task under these column headings:

  • Status. Indicates whether the task is completed or in progress

  • Task. Name of the task

  • Assigned to. User name or workgroup to which the task is assigned

  • Priority. High, medium, or low

  • Associated with. Name of the file, if any, that the task is associated with

  • Modified date. Last time the file was modified

  • Description. Description of work that needs to be done, or any other information
